Streamline Event Planning with AI: Free Google AI Boost Bites Lesson

Explore event ideas, group planning, shuttle schedules and feedback review in Google’s free short AI-assisted planning lesson.

WikiFree Event Planning with AI course cover with a blank calendar, coral gear and checklist.

Event planning combines creative choices with practical details that must work together. Streamline Event Planning with AI introduces a few ways an assistant can help organize that thinking, from off-site ideas to arrival-based logistics and feedback.

This free beginner AI Boost Bites module is a short demonstration rather than a complete event-management program. It suits learners who want to understand possible uses of AI support while retaining responsibility for the event’s constraints. Generated ideas or schedules still need to be checked against real capacity, accessibility and participant needs.

  • Event briefing
  • Constraint planning
  • Schedule review
  • Group organization
  • Feedback interpretation

Put the event’s constraints in the brief

For an optional study exercise, invent a small team event and list the fixed constraints: the date, approximate attendance, available time and transport assumptions. Separate those facts from preferences such as the atmosphere or activity style. That gives an assistant a more useful starting point.

As you review the brainstorming example, compare suggested ideas with the brief. An activity can sound appealing and still be unsuitable for the participants or venue. Keep accessibility and practical approvals in the review process rather than treating a generated list as a finalized plan.

Check that the logistics fit together

A shuttle schedule should make sense across arrival times, available vehicles and event timing. Use a fictional set of arrivals to think through what information would be needed before confirming transport. Do not assume an assistant knows capacity, travel duration or a participant’s special requirements unless those facts are supplied.

The grouping example offers a similar review opportunity. Write down the goal of an icebreaker and the constraints that matter to participants. Check the proposed groups against those requirements. This optional exercise is about evaluating a plan, not claiming that an AI-generated arrangement is automatically fair.

Use feedback to ask better questions

When studying survey analysis, distinguish a pattern in responses from an explanation for that pattern. A few negative comments may identify something to investigate, but they do not necessarily describe every participant’s experience. Consider the response rate and the way questions were asked.

After the lesson, create a short fictional event checklist with a decision owner for each item. Use the knowledge check to revisit the demonstrated workflows. AI can assist with organization, while actual bookings, transport, budgets and participant communication remain work that requires confirmation outside the course.

Free learning and practical access
